Having your own person has advantages
They know your business, sit next door and advise before an issue becomes a ticket. That doesn't fit in a spreadsheet, and pretending it does is pointless.
One person cannot do everything.
Networks, servers, cloud, security and user support - in practice these are several distinct professions. A single administrator will be competent in some areas but will have to improvise in the rest.
The most costly is an outage
A day when the business cannot operate usually outweighs the entire difference between options. Therefore, it pays to ask not about the price, but what happens on the worst possible day.
In practice, the most common answer is neither "everything in-house" nor "everything outsourced", but a combination: an internal person for tasks requiring company knowledge, and an external team for night services, security and specialisation. How the calculator works
What does the calculator count? +
Salary and employer contributions, which in 2026 add 33.8% on top of gross pay (24.8% social and 9% health insurance), plus the equipment and licences an IT person needs, ongoing training and the cost of refilling the position when someone leaves. The number of full-time positions is estimated from the number of users and the required support hours.
Why does 24/7 coverage need more than four full-time positions? +
Because a year has 8,760 hours and one full-time position covers roughly 1,800 of them. Round-the-clock availability from one or two people means they are permanently on call outside working hours as well. It works for a while, then that person leaves. This is the most common reason companies stop covering 24/7 operation in-house.
Isn't the headcount estimate exaggerated? +
It is an estimate, not a budget. It is based on how many users one person can support alongside routine maintenance and projects. With a simple environment and self-sufficient users you will need fewer people; with shift work, several branches or specialised systems you will need more. Treat the result as an order of magnitude.
What does the calculator deliberately leave out? +
It does not count the benefits of having your own person: they know your company, are physically on site and have a relationship with it that money cannot buy. Nor does it count the price of external IT management, because that depends on your actual infrastructure and what you expect from support. The point is not to prove that outsourcing is always cheaper, only to show the number on the other side of the scale.
What would the same cost from you? +
